Working with Dynamic Parameter Fields in Crystal Report

One of the most exciting new features on Crystal Reports XI is dynamic parameter fields. With previous versions of Crystal Reports you could browse your data source for a list of values to select from, but this was only available at design time. When you viewed the report again, the same list of values saved with the report would be displayed. This worked out well for "static" values (like a list of states, for example) but for more dynamic values, this was problematic.

With the release of Crystal Reports XI, you can now have "dynamic" parameter fields that connect to your data source when you view the report to retrieve the most current set of values. This feature is easy to implement and use and in this tutorial, you'll learn how to add dynamic parameters to your own reports.

To start, you will need a copy of Crystal Reports XI, which you can download from
here if you don't already have a copy. Next, we need a report to work with-for this example, we are going to create a new report from the Xtreme sample database that ships with every copy of Crystal Reports.

To create a report that uses dynamic parameters, follow these steps:

  1. Open Crystal Reports XI from the Start menu.
  2. Select File -> New -> Standard Report to open the report wizard.
  3. Double-click the option for Create New Connection.
  4. Double-click ODBC (RDO).
  5. Select the Xtreme Sample Database 11 data source and click Finish.
  6. Next, expand the tables section and double-click the Customer table to add it to your report and then click the "Next" button.
  7. Double-click the following fields to add them to your report design:

    - Customer Name
    - City
    - Region
    - Country
  8. These are all the fields you need for your report, so click the Finish button to view your report design.

Now comes the fun part! We are going to add a parameter to your report and connect it to your data source, so when the user views the report the most current data will be displayed. To create a parameter field in your report, follow these steps:

  1. Select View > Field Explorer.
  2. Right-click on Parameter Fields and select New from the right-click menu.
  3. Enter "Customer Name" as the name for your parameter.
  4. Under "List of Values" select "Dynamic".
  5. Under the Value column, click where is says "click here to add item" and select Customer Name from the drop-down list. The dialog shown now look like the one shown below in Figure 1. Click OK to return to your report design.

  6. Next, select Report > Select Expert, select the Customer Name field and click OK.
  7. Using the drop-down list beside select  "Is Equal To" and using the drop-down list, select your parameter field (it should be the first field).
  8. Click OK to return to your report design and see the parameter dialog. The parameter dialog will appear and show you a dynamic list of values that is updated each time your run your report.

    It couldn't be easier! In the next tutorial, we will be looking at how to use this feature to create cascading parameter fields, where the values are filtered by the preceding selection.

Dynamic Crystal Report using c# code by Ranjan On July 25, 2007
your topic was excellent but it doenst help me wat i want is to generate the crystal report dynamically using code & dependent on the dataset or such item i.e, if dataset has 6 columns 6 displaying objects are to be added to the blank crystal report along with header & footers etc

IAM JAMSHED AHMED I GOT PROBLEM IN CRYSTAL REPORT WHEN REPORT IS LOADED IT ASKS FOR USER NAME AND PASSWORD AND I HAVE USED MS ACCESS DATABASE AND HAVEN'T USED ANY USER NAME OR PASSWORD AT THE TIME IT'S DB CREATTION PLZZZZZZZZZZZZZZZZZZZZZZZZ HELP  !!!!!
